How to report a fault so engineers can respond effectively
A useful request records symptoms and business impact without guessing the cause.
Prepared by DATPOL, 4 October 2026. This guidance supports scoping, discussions and acceptance; it does not replace a design or the specific equipment manual. This British English version concerns services and properties in Poland.
Record facts
Give the location, equipment name, first occurrence and last known working time. Copy the exact error message. Explain whether one person, one room or the whole property is affected. Mention recent work or power interruptions.
Explain the impact
Describe the activity that has stopped and any safe workaround. Priority depends on the effect on people and operations, rather than simply labelling a request urgent. For immediate danger, follow site emergency procedures and contact the appropriate emergency services.
Attach evidence and a contact
Include a photograph of the equipment label and error if safe to obtain. Remove credentials and unnecessary personal information. Name an on-site contact and access hours. Avoid repeatedly resetting equipment and losing fault evidence.
Practical checklist
- Site, equipment, time and symptoms.
- Scope and operational impact.
- A photo or error message without confidential data.
- Contact and access arrangements.
